Bentley Dynamic Rights Management (DRM) Service is an online service available through Bentley that dynamically protects and secures project information for Bentley content management applications. This gives Document Controllers, Administrators and Infrastructure Professionals the ability to secure sensitive data, ensure recipients of distributed information only use the most current version, and help enforce industry regulations and standards compliance using PDF and Office documents that are shared with desktop and mobile users.

Bentley DRM Service leverages Adobe’s Livecycle Digital Rights Service to proactively protect digital content from unauthorized access in a content-centric security model, using encryption and embedded policies.

1. What are the supported formats can I protect with DRM?

Authorized users can create a protected document from any Adobe PDF, Microsoft Word, Excel or PowerPoint file stored in a Bentley content management application.

2. What is considered a “Bentley content management application”?

A Bentley content management application is either ProjectWise or AssetWise. Bentley DRM Service creates secure documents from supported files in:

  • ProjectWise with the ProjectWise Integration Server V8i (SELECTseries 4) Refresh release
  • The next major release of AssetWise

3. What Can I do Using Bentley Dynamic Rights Management Service?

  • Apply security policies against distributed documents to enforce compliance standards. 
  • Digitally revoke access to outdated project information.
  • Access document controls as part of natural workflows using standard technology, including ProjectWise, or through a web interface.

6. How is the Bentley DRM Service priced?

The Bentley DRM Service is available via Subscription, plus tiered pre-paid protection levels. There are four levels of pre-paid protection and the price per protected document decreases as the number of documents/level increases.

The pre-paid protection is a lease type service that you can think of like "Cell Phones" where you purchase a packaged number of minutes for use in a specified period of time. If the number of documents purchased is not used in a year, they do not roll over to the next subscription period, it’s use it or lose it.

7. How is the Bentley DRM Service licensed?

The Bentley DRM Service is only available via Subscription. There is no Pre-paid Annual (PPA), Enterprise Licenses Subscription (ELS), Quarterly License Subscription (QLS), or Perpetual Licensing. Currently, it can be used with all ProjectWise installations in a given account. In the future, it can be used with all AssetWise installations in an account.

8. What are the prerequisites?

  • ProjectWise Integration Server v8i (SELECTseries 4) Refresh or later
  • Internet Information Services (IIS)

Processor

  • 2 GHz x64 processor or better, dual-core or multiple-processor architecture is strongly recommended

Operating System

  • Windows Server 2008 R2 SP1
  • Windows Server 2012

Memory

  • 2 GB RAM minimum, 4 GB recommended

Disk Space

  • 500 MB of free hard disk space

9.What devices can I use to view protected content?

Recipients can access DRM controlled PDF files with Adobe Reader on desktop and mobile devices. Rights-protected PDF files offer the additional benefits of ubiquitous, cross-platform, free Adobe Reader, Adobe Reader for Mobile, Adobe Media Player, and Adobe AIR, thus eliminating the need to install or learn any additional software when viewing protected information.

Microsoft Office 2003, Microsoft Office 2007 or Microsoft Office 2010 (32 bit) on Windows based operating systems that have the Adobe Rights Management Extension for Microsoft Office installed.

10.What happens if a protected PDF is opened with a non-Adobe product?

Since third party PDF viewers/readers do not understand the encryption that is placed in the PDF, they will generally error out and will not let you view the contents.

11.Who is involved with the Dynamic Rights Management Service and what are their rolls?

  1. An Administrator creates and manages the DRM Policies on the hosted Bentley Dynamic Rights Management Service.
  2. A Document Controller chooses and applies DRM policies to copies of PDF and Office documents stored in ProjectWise.
  3. The documents secured with DRM Policies are distributed outside the managed environment to Field and Operations personnel where they view them with the appropriate viewing application, either Adobe Reader/Acrobat or Microsoft Office with the Adobe Rights Management Extension for Microsoft Office installed.

 

 

 

 

 

 

 

12. Should I protect all my files with DRM?

Only files that are distributed to project participants outside of the managed environment should be protected by the Bentley Dynamic Rights Management Service. It is not required to protect documents that will only be managed in the ProjectWise or AssetWise environments. In addition, it is recommended that an unencrypted copy of the protected file be kept in the content management system for archiving or if you chose to discontinue usage of the Bentley DRM Service.

13.What happens to my protected files if I unsubscribe from the DRM service?

If in the future you chose to unsubscribe from the Bentley DRM Service, any file previously protected with that service will be inaccessible since access to the file contents can no longer be validated. It is recommended that an unencrypted copy of the protected file be kept in the content management system to provide continued access to the file contents, or all encryption be removed from protected documents prior to unsubscribing from the service.

14. Is Digital Rights Management the same thing as Digital Signatures?

No, Digital Rights Management is not the same as Digital Signatures.

Digital Rights Management lets you proactively protect sensitive information from unauthorized individuals, revise usage rights or revoke access to documents at any time, dynamically apply watermarks, and control the level of features available in the document per user (i.e. read only, no print or edit).

Digital signatures only establish the authenticity of the content.

15. Can I host DRM on-premise and not use the on-line service?

The only way to use the Bentley Dynamic Rights Management Service is via the hosted service from Bentley.

16. Can I really control the security on a protected file after it has been distributed?

Yes, since the actual policy is not written into the file, the document can be revoked or the protection changed after it has left the managed environment and it is out in the "wild".

17. Can I use protected files when I’m not connected to a network?

Yes, it is possible to open protected files when off the network for a specified period of time.

18. Are my files transferred across the internet when I secure or use the protected documents?

When using the Bentley DRM Service, your files are never copied to or stored on-line in the DRM Service. The act of applying, changing, or removing policies is always performed on-premise for maximum security and performance.

19. How does the Bentley DRM Service actually work?

Bentley DRM is provided as an on-line service and will be one of many services to be provided by Bentley in the future. The service resides outside an account’s firewall and talks to on-premise component – Bentley DRM Gateway Service. Through secure HTTPS protocol the Gateway connects the on-line DRM service with ProjectWise and with AssetWise. Administrators create and manage security policies on-line and Document Controllers access the policies and apply them to selected managed content intended for distribution. Protected files are distributed and broadly accessed in office and remote locations using desktop, and mobile devices each time a worker accesses the content their identity is verified and level of access applied.

20. I would like to use the Bentley Dynamic Rights Management Service with ProjectWise Online, is this possible?

Yes, Bentley Dynamic Rights Management Service is available with ProjectWise Online. Please contact your Account Manager for more information and pricing.

21. I would like to evaluate the Bentley Dynamic Rights Management Service, how do I get it?

There are two ways to evaluate Bentley Dynamic Rights Management Service: Hosted ProjectWise Online paid pilot or a paid pilot using your on-site deployment of ProjectWise. Please contact your Account Manager to discuss pricing in order to determine the best evaluation process and to initiate the pilot.
